Job Duties and Responsibilities:

Under the direction of the City Clerk/Finance Director, performs a number of varied clerical and financial responsibilities. Assists the public with information about community services and programs.

A. Answers the telephone and acts as a receptionist, giving general information in response to public inquiry.

B. Directs callers to the proper person or office or takes accurate messages.

C. Handles routine citizen inquiries and complaints related to the area of expertise.

D. Receives and routes incoming mail.

E. Processes outgoing mail.

F. Processes cash and checks received as payment for utility bills.

G. Balances daily deposits and receipts.

H. Types routine correspondence relating to water and sewer utilities.

I. Furnishes information to the public on a variety of matters relating to the maintenance of accounts.

J. Assists non-English speaking customers in resolving questions and concerns. Arranges for interpretive services where necessary.

K. Assists in making arrangements for the use of meeting rooms and/or the lecture hall in the absence of the facility manager. Assists with basic set-up of meeting rooms and/or lecture hall as necessary.

L. Assists the public with information about the community, such as utility set-up, community services, community programs, and community organizations.

M. Performs other duties and responsibilities as assigned.

Qualifications:

I. Knowledge of modern office methods and equipment.

II. Thorough working knowledge of computers and software applications, including word processing, spreadsheets, etc.

III. Good working knowledge of English, spelling, grammar, and math.

IV. Good working knowledge of a variety of secretarial, clerical, and receptionist duties.

V. Ability to communicate effectively with the public and staff in verbal and written formats.

VI. Working knowledge of basic bookkeeping.

VII. Ability to understand and follow complex oral and written directions.

VIII. Ability to make minor decisions in accordance with laws, ordinances, regulations, and established policies.

IX. Ability to maintain confidentiality.

X. Must exercise considerable tact and diplomacy when dealing with the public and other City employees.

XI. Must be able to demonstrate proper etiquette when dealing with customers over the phone or in person.

XII. Requires a thorough working knowledge of community services, programs, and organizations and the operations of the City of Great Bend.

XIII. Knowledge of requirements and procedures for obtaining electrical, natural gas, water, sewer, telephone, cable, cell phone, and trash services.

Education/Experience:

This position requires a combination of clerical and basic bookkeeping experience, and a high school diploma or GED. Proficiency in the use of the computer is essential in this position.

Working Conditions:

Work is inside and involves prolonged sitting and possible eyestrain. Work is generally light, but may involve some moderate lifting, pulling, pushing, and carrying. Also involves seeing, hearing, and talking. Position will require a valid Kansas driver’s license.
