Description
The Medical Receptionist is responsible for greeting patients and visitors in a courteous and friendly manner, answering all phone calls, taking appropriate, clearly defined messages, gathering and/or verifying patient demographic and insurance data on the phone or in person, and assuring necessary paperwork is completed and accurate to facilitate professional, quality patient care.
ESSENTIAL FUNCTIONS
1. Professionally greet and assist patients/visitors who enter the facility
2. Follow the screening protocol for patients/employees as needed
3. Provide exceptional customer service in person and over the phone
4. Courteously interact with providers, nurses, staff, visitors, and patients
5. Responsible for coverage of the front desk, receptionist area and waiting room
6. Schedule, confirm, cancel, and reschedule appointments
7. Adhere to policies and procedures within the clinic – no show policies, dress codes etc
8. Monitor the daily automated messaging report
9. Register/check-in patients
10. Collect required demographic information including the patient’s picture
11. Verify insurance coverage, calculate eligibility, run KMAPS and collect co-pay’s – obtain current insurance card for the patients file, including work injury, workman’s comp, vehicle accident and secondary payer information
12. Collect Forms: HIPAA privacy, Consent to Treat, Consent to Treat a Minor
13. Verify and update all information in computer. SSN #, Address, Phone Number, Nickname, E-mail Address, Primary Care Provider, Employer, and Emergency Contacts
14. Send out portal invitations
15. Manage the check-in process for all outside providers
16. Complete accurate documentation of patient phone conversations
17. Verify the cash box at the beginning of each day
18. Balance cash with receipts at the end of each day for billing
19. Verify the cash box at the end of each day
20. Perform all duties within HIPAA regulations
21. Assist in simple cleaning within office, as needed – includes kitchen duty
22. Open and close the clinic, disburse mail, and perform other tasks as may be deemed necessary or assigned
KNOWLEDGE, SKILLS, ABILITIES, AND QUALIFICATIONS:
Medical receptionist experience or background in general office work preferred. Ability to comprehend established office routines and policies. Learn quickly from oral and written instructions. Ability to perform mathematical tasks. Understand the ethics of confidentiality. Good organization skills and good work ethics. Tact and diplomacy. This is a position where the majority of the duties must be performed in a sitting position. Minimal lifting and carrying will be necessary.
